About the Role:
This role reports to the Client Relationship Manager and is integral to an administration team dedicated to overseeing a significant client relationship. Positioned within the Fund Sub Team (FST), the Fund Payment Officer is responsible for crucial payment operations linked to Special Purpose Vehicles (SPVs), Master Funds (MFs), and various financial transactions.
This team ensures timely processing of capital calls, distribution of funds, and comprehensive reporting for both lenders and investors, maintaining secure data transfer and compliance with auditor and depositary requirements.
Job Description:The Fund Payment Officer is essential in facilitating timely and precise financial transactions within the Fund Sub Team. This role involves vital interactions with a variety of stakeholders, including clients, lenders, and internal teams, to streamline payment processes and keep organized records. Key responsibilities include preparing payment notices, managing communications, and adhering to established guidelines for financial reporting.
Key Responsibilities:- Review and maintain a payment tracker, ensuring that all entries are accurate and properly documented.
- Facilitate the preparation of payments for Master Funds, Special Purpose Vehicles, debt interest, and related financial activities.
- Engage constructively with Boards, clients, lenders, and other stakeholders to address queries and maintain transparent communication.
- Manage the prompt input and submission of drawdown and distribution notices on the client’s portal for necessary approvals and notify investors post-approval.
- Ensure timely delivery of reports to lenders and investors via the investor portal.
- Collaborate closely with accounting teams, banking partners, and stakeholders to resolve any discrepancies that arise.
- Oversee the management of FST mailboxes to ensure timely categorization and allocation of messages for effective resolution of inquiries.
- Prepare reports and operations related to distribution in kind.
- Provide support and mentorship to junior team members under the guidance of senior staff.
- Experience in fund administration is preferred but not essential.
- Candidates should ideally hold part-qualifications in a relevant professional field (such as ICSA Diploma level or equivalent).
- Exceptional organizational skills with the capacity to multitask and maintain a meticulous attention to detail are required.
- Proficient computer skills and the ability to quickly master various systems are essential.
- Excellent interpersonal skills for developing strong working relationships with colleagues and stakeholders.
